Introduction

As an Administrator for the organisation, you have four mechanisms for adding and managing new users:

  1. Sharing access links
  2. Sending email invites
  3. Using Automatic Account Creation
  4. Using LTI enabled access

How to invite users: Sharing Access Links

The first method Perlego offers to invite users to register is through access links

At the top right of the Manage Users table in the Subscription Manager, you will find the 'Invite Users' button. This is where you can find your existing links or create a new one. This article provides a step-by-step guide on how to set up a new access link. When creating a new link, remember to give it a memorable name (such as the department name, year, group name, etc) and select the relevant Subscription Plan. You can also add user tags, which will help you manage these users in the Manage Users table.

When you create a new link, this is automatically copied to your clipboard for sharing with the relevant users. You can simply paste it in an email or any communication channel with your targeted users.

If you need to share a link you previously set up, go to the 'Existing links' page by clicking the 'Invite Users' button. There, you will find all the links you have created for your organisation.

To copy an existing link, click on the 'link' icon next to each link in the list.

When users click on the link you've shared with them, they are redirected to a unique registration page, where they’ll enter their name, email address and password.

Once these steps are completed, they’re ready to start reading on Perlego, and their account will appear on the Manage Users table of your Subscription Manager.

How to invite users: Sending email invites

A straightforward approach to inviting users to register involves sending email invites directly from the Subscription Manager. With this method, you can target specific users who will receive an invite to join Perlego directly in their inboxes.

This is how the email invites feature works:

Note: to send invites, you will need to have created an access link first.

  1. Navigate to the Subscription Manager, click on 'Invite Users' and select 'Send Email Invite' from the drop-down menuScreenshot 2024-04-18 at 11.14.59
  2. Select the link you wish to send the invite with. Here, you will also be able to see the tags allocated to that link. Screenshot 2024-05-21 at 10.22.40
  3. Input the email addresses of the users you wish to invite in the 'Add user email(s)' box.
    1. You can type emails manually. Use [space bar], [return] or [semicolon] to separate emails.
    2. You can add up to 500 emails in one go by simply copying and pasting them into the box. For example, if you have this data in an Excel spreadsheet, you can copy and paste the whole email column here. Screenshot 2024-04-18 at 11.16.22
  4. To ensure that any invites you sent to your users from the Subscription Manager don’t go into spam, we recommend that you whitelist our @perlego.com and @mail.perlego.com email domains at your organisation.

How to invite users: Automatic Account Creation

For organisation seeking effortless user registration, Perlego offers Automatic Account Creation. Using Domain Restrictions, we create a trust relationship with anyone using your confirmed institutional domains. This means that any user who tries to login or sign-up with a whitelisted email domain, will be automatically granted a subscription from the pool of subscriptions you’ve purchased.

To enable Automatic Account Creation, please raise a request through this form. You will need to:

  1. Provide a list of all eligible email domains for your users.
  2. Create an access link which any auto-created-accounts will be registered against in your Subscription Manager.

How to invite users: LTI enabled access

The Perlego LTI integration simplifies online access by seamlessly logging users into Perlego from the Learning Management System (LMS). When a user clicks on a Perlego link from your LMS, they are automatically directed to create their account. If they already have an account they’ll be authenticated automatically through an ‘LTI handshake’.
